Designing a digital work environment in Google Workspace for IBIS Świderski

The Business Challenge

The expansion of operational activities and the development of further technological projects led to an increase in the number of processes and teams. The specific nature of IBIS Świderski required the connection of two models: stable administrative processes and dynamic technological projects carried out with external partners. The main goal was to create a single, scalable work system for the entire organization instead of many dispersed, local rules.

The Solution

The mcCloud team configured Google Workspace as a central management platform. Corporate documentation was organized on Shared Drives, ensuring that files remain company property regardless of employee turnover. A flexible permissions model for the team and a secure environment for collaboration with external partners were created using Google Groups and differentiated access levels. Furthermore, centralized administration fully covers the lifecycle of accounts — from onboarding to offboarding — allowing new teams and international projects to be easily integrated without the need to expand infrastructure.

The Results

The system implementation allowed the growth of administrative burdens to be limited during the period of dynamic company development. Thanks to unification, work processes were coded directly into the organization’s structure, reducing dependence on the knowledge of individual employees and eliminating the risk of losing context during staff changes. IBIS Świderski gained a standardized model for the rapid launching of new initiatives within a single ecosystem, effectively decoupling business scaling from operational complexity.
